DIC streamline chose VISEO to improve employee claims across the Asia-Pacific region using SAP Concur

The Challenge

The DIC Group, which operates 189 companies in 63 countries and employs over 22,000 people, faced significant inefficiencies in its employee claims and reimbursement processes. This was costing them time, money, and control. To better serve their stakeholders, DIC needed to streamline operations and improve cost-effectiveness. A key starting point was simplifying the employee claims process across 10 countries in the Asia-Pacific (APAC) region. This included Singapore, Malaysia, Australia, New Zealand, Thailand, India, Vietnam, the Philippines, and Sri Lanka, benefiting 5,000 employees.

The Solution

Headquarters led the decision to choose SAP Concur as the expense management solution. Having seen positive results with SAP Concur in Japan, DIC rolled it out across the 10 countries.

As a SAP Concur partner, VISEO brought expertise in understanding business challenges and implementing Concur efficiently. They focused on ensuring the solution met DIC’s needs while aligning with the company’s desired outcomes.

Achievements unveiled

VISEO helped DIC overcome several unique challenges. They collaborated closely with DIC’s team in Japan to ensure seamless integration between headquarters and APAC offices. Each country presented different operational processes and statutory requirements, which VISEO carefully studied before streamlining the claims process for each location.

DIC’s Malaysian office, designated as the shared service center for handling financial transactions and employee claims, was another focal point. VISEO ensured that all Concur implementations across the region led to productivity improvements for the shared service center.

In six months, VISEO completed the first phase of implementations in Singapore, Malaysia, Australia, and New Zealand. This phase involved both discovery and implementation. DIC relied on VISEO’s guidance, as the company had little experience with Concur. Meanwhile, VISEO learned about DIC’s claims processes and statutory requirements. They configured the system to integrate data flows directly into DIC’s existing SAP ERP, creating a streamlined claims process.

The second phase, completed more recently, extended the implementation to Indonesia, Thailand, the Philippines, and Vietnam. The final phase, currently underway, will cover India and Sri Lanka. VISEO continues to collaborate with DIC, paying special attention to India’s complex tax regulations.

The Outcome

“DIC has been pleased with the results so far. The solution allowed us to integrate our existing systems and processes with minimal disruption, improving overall work efficiency,” says Leong Suk Cheng, Regional Finance Manager at DIC.

She adds, “Since the pandemic, submitting physical receipts and invoices has become harder with employees working from home. Now, we handle far less paperwork. Processes and approvals are digital, and all claims flow automatically into our SAP system, greatly reducing manual work.”

Enhanced productivity and future-ready systems

Ms. Leong also notes that this shift has freed up finance department employees who previously spent time on data entry. They can now focus on higher-value analytical work, leading to productivity gains across other areas. She further emphasizes that the timing of the implementation was perfect.

“As borders reopen in 2022 and travel-related claims rise to pre-pandemic levels, we are ready with a future-proof system for expense claims,” she concludes.
